We collect minimal personal information to facilitate nominations and celebrate community impact. We use aggregated, anonymised data for annual reporting and never sell your information to third parties.

1. Information we collect

To process a nomination, we require:

  • The nominator's contact details (name, email, location).
  • The nominee's details (name, community, and the story of their contribution).
  • Any supporting materials (photos or written testimonials) provided during the submission.

2. How we use your information

Your information is used solely to:

  • Validate and process nominations through our partner Community Foundations.
  • Communicate updates regarding the nomination status.
  • Recognise and celebrate honourees (subject to specific consent).
  • Generate aggregated, anonymised metrics for our annual impact reports.

3. Sharing and disclosure

We share information only as necessary to fulfil the awards process:

  • Community Foundations: local partners receive nomination details to facilitate local selection.
  • National Selection Committee: an independent body reviews qualifying nominations.
  • Sponsorship: as the awards are powered by Beneva, certain high-level impact data may be shared, but individual private contact details are not disclosed for marketing purposes without explicit consent.

4. Data residency and security

All data is processed and stored on secure servers located in Canada. We implement industry-standard technical safeguards to protect your information from unauthorised access.

5. Your rights (including Quebec Law 25 compliance)

You have the right to access, correct, or request the deletion of your personal information at any time. For Quebec residents, we comply with all requirements regarding data portability and the right to be forgotten.

In brief

By using this site and submitting a nomination, you agree to our rules regarding accuracy, eligibility, and the use of submitted content for recognition and annual reporting purposes.

1. Eligibility and accuracy

Nominations must be based on truthful information. The Canadian Philanthropy Awards reserves the right to disqualify any nomination found to be fraudulent or inaccurate.

2. Intellectual property and content usage

The branding, logos, and content of the Canadian Philanthropy Awards are protected by copyright. By submitting a story, photo, or testimonial, you grant us a non-exclusive, royalty-free licence to use, reproduce, and distribute such material for the following purposes:

  • Promoting the awards via social media, press releases, and digital channels.
  • Celebrating the nominee in award ceremonies and related media.
  • Inclusion in the official Annual Impact Report.

3. Limitation of liability

The Canadian Philanthropy Awards and its partners (including Beneva and participating Community Foundations) are not liable for any errors in the nomination process or for the use of the website.

4. Governing law

These terms are governed by the laws of Canada and the applicable provincial legislation.

Accessibility statement

The Canadian Philanthropy Awards is committed to making this website accessible to all people, including those who use assistive technologies. We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 at Level AA.

Current status

This site has been designed and built with WCAG 2.1 AA as the target standard. We use semantic HTML, provide text alternatives for non-text content, ensure sufficient colour contrast, and support keyboard navigation throughout. We test across modern browsers and screen readers.

We recognise that accessibility is ongoing work, not a one-time checklist. If you encounter a barrier, we want to know.

Known limitations

At the time of writing, no significant accessibility issues are known. Third-party content embedded on this site, such as video players or map widgets, may not fully meet WCAG 2.1 AA. We work with providers to address these where possible.

How to report an issue

If you experience difficulty accessing any part of this website, or have a suggestion for how we can improve, please contact us. We aim to respond to accessibility reports within five business days. Email: nominations@canadianphilanthropy.ca.

When reporting an issue, it helps to include the URL of the page where you encountered the problem, the assistive technology or browser you were using, and a description of what you were trying to do.

Enforcement

If you are not satisfied with the response you receive, you may contact the Canadian Human Rights Commission or the applicable provincial accessibility body in your province or territory.
